Acceptable Use Policy

Purpose

This Acceptable Use Policy ("AUP") defines the rules and guidelines for using APEX Team Manager. The Service is designed for communication within high school athletic programs, and all users are expected to conduct themselves in a manner consistent with a school setting. This AUP applies to all users, including school administrators, coaches, players, and parents.

Permitted Use

The Service is intended for:

  • Communication related to school athletic team activities, including practice schedules, game information, and team coordination
  • Sharing scores, statistics, calendars, and photos related to team activities
  • Administrative tasks such as roster management, event scheduling, and parent communication
  • Announcements and updates from coaches and school administrators to team members and families

Prohibited Content

Users must not post, share, or transmit content that:

  • Is sexually explicit, pornographic, or obscene
  • Contains threats of violence, promotes violence, or glorifies violence
  • Constitutes harassment, bullying, intimidation, or hate speech targeting any individual or group based on race, ethnicity, gender, sexual orientation, religion, disability, or other protected characteristics
  • Contains personal attacks, defamation, or deliberate humiliation of other users
  • Promotes illegal activities, including underage alcohol or drug use
  • Contains another person's personal information without their consent (doxxing)
  • Infringes on intellectual property rights, including copyrighted material shared without permission
  • Is spam, unsolicited advertising, or commercial solicitation unrelated to team activities
  • Contains malware, phishing links, or other malicious content

Prohibited Behavior

Users must not:

  • Create accounts using false information or impersonate another person
  • Share account credentials with others or access another user's account without authorization
  • Attempt to access data from other schools or teams outside your authorized scope
  • Use the Service to circumvent school policies or communicate in ways that violate school rules
  • Interfere with or disrupt the Service, including attempting to overload servers, exploit vulnerabilities, or reverse-engineer the platform
  • Use automated tools, bots, or scripts to access the Service or collect data without authorization
  • Use the Service for any purpose unrelated to school athletic activities
  • Retaliate against any user who reports a violation of this policy

Coach and Administrator Responsibilities

Coaches and school administrators have additional responsibilities:

  • Monitor team channels for inappropriate content and address violations promptly
  • Set appropriate channel permissions for their teams, especially for younger athletes
  • Ensure that private direct messages with students follow school policies regarding adult-student communication
  • Report serious violations (threats, abuse, illegal content) to school leadership and, where required, to appropriate authorities
  • Maintain professional boundaries in all communications

Reporting Violations

If you encounter content or behavior that violates this policy:

  • Use the in-app flag feature to report individual messages to your team's coach or school administrator
  • Contact your school administrator directly for urgent concerns
  • Email safety@oakslakegroup.com for issues that require platform-level intervention

All reports are taken seriously and will be reviewed promptly. Users who report violations in good faith will not face retaliation.

Enforcement

Violations of this AUP may result in the following actions, depending on the severity and frequency of the violation:

  • Warning: A notification that the content or behavior violates this policy, with a request to stop
  • Content removal: Removal of the offending content by a coach, school administrator, or platform administrator
  • Temporary restriction: Temporary suspension of the user's ability to post messages or access certain features
  • Account suspension: Temporary suspension of the user's account
  • Account termination: Permanent removal of the user's account from the Service

In cases involving threats of violence, child safety concerns, or illegal activity, we may take immediate action without prior warning and may report the matter to law enforcement.

School administrators retain primary responsibility for enforcing this policy within their school. Platform administrators may intervene when necessary to protect the safety of users or the integrity of the Service.

Changes to This Policy

We may update this Acceptable Use Policy from time to time. Material changes will be communicated through the Service or by email. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
